Wedding and Events Coordinator

Website Strathmere Farm Inc.

Job Summary

The Wedding and Events Coordinator / Captain at Strathmere is a high-visibility leadership role at Ottawa’s premier countryside destination. As the “Director of First Impressions and Final Details,” you are the glue that holds a couple’s most important day together. This role requires the “wit” to manage complex, multi-vendor timelines and the “grit” to lead a banquet team through a high-pressure, fast-paced service environment while maintaining an air of rural elegance.

Job Details

  • Employer: Strathmere Farm Inc. (Award-winning 200-acre countryside estate).

  • Location: North Gower / Ottawa, ON (Hybrid remote options for admin, but primarily on-site for execution).

  • Salary: $22.00 – $30.00 per hour.

  • Status: Part-time (15 – 25 hours per week).

  • Schedule: Wedding season focus; requires evenings, weekends, and holidays.

Key Responsibilities: The Event Lifecycle

You own the “Day-Of” experience, transitioning from a logistics manager to a hospitality captain.

  • On-Site Execution: Act as the primary command center for couples, guests, and vendors. You ensure the florist, DJ, and photographer are synchronized with the venue’s flow.

  • Ceremony Mastery: Conduct rehearsals and lead the processional, ensuring the transition from “I Do” to cocktail hour is seamless.

  • Team Leadership: Manage the banquet and service staff, overseeing the precise setup of the dining rooms and the breakdown at the end of the night.

  • Service Quality: Monitor food and beverage standards, ensuring Strathmere’s award-winning cuisine is served with professional precision.

  • Crisis Management: Troubleshoot “unseen” issues—from weather shifts to timeline delays—with a calm and professional demeanor.

Candidate Profile & Qualifications

  • The “Event Professional”: 2+ years of experience in weddings, hospitality, or high-level event coordination.

  • Operational Wit: Exceptional organizational skills and the ability to multitask under the intense pressure of a live event.

  • Leadership Grit: Proven experience delegating tasks to a diverse service team while maintaining morale and standards.

  • Hospitality Mindset: A proactive problem-solver who anticipates a guest’s needs before they are voiced.

  • Availability: Must be fully committed to the “Wedding Season” rhythm (primarily weekends).

Technical Insights: The Architecture of a Countryside Wedding

Managing a 200-acre estate like Strathmere involves unique logistical challenges compared to a hotel ballroom.

  • Venue Logistics: You will coordinate across multiple distinct venues on the property (The Lodge, The Inn, and The Garden House), each with its own kitchen flow and aesthetic requirements.

  • Timeline Precision: You aren’t just following a clock; you are managing “Human Flow.” This includes the “flip” (transforming a space from ceremony to reception) and the timing of “Grand Entrances” versus kitchen plating.

  • Vendor Integration: You act as the “Technical Liaison” for external vendors, ensuring they understand load-in zones, power requirements for bands/DJs, and venue-specific safety protocols.

Why Join the Strathmere Team?

Strathmere is more than a farm; it is a cornerstone of the Ottawa wedding industry known for its “Nature-Meets-Luxury” philosophy.

  • Prestigious Reputation: Working for “Ottawa’s premier destination” adds significant weight to an event professional’s portfolio.

  • Hybrid Flexibility: The role offers “Hybrid Remote” status for the administrative and planning portions of the job, allowing for a better work-life balance during the week.

  • Dynamic Environment: No two weddings are the same. You will work with diverse themes, cultural traditions, and creative visions.

  • Mentorship & Growth: Leading a staff of banquet professionals provides a direct path toward Senior Event Management or Venue Operations.

Job Description

Do you believe that perfection is found in the smallest details? Strathmere is seeking a Wedding and Events Coordinator / Captain. We aren’t looking for a “party planner”; we are looking for an operational leader who has the “grit” to lead a breakdown at 1:00 AM and the “wit” to calm a nervous bride five minutes before she walks down the aisle. If you want to be the reason a couple’s wedding exceeds their wildest dreams, you belong at our farm.

In this role, you are an “Experience Architect.” You understand that every minute of a wedding day is a once-in-a-lifetime moment. Your goal is to achieve “Excellence in Hospitality,” ensuring that our service standards remain as breathtaking as our 200-acre view. We look for “Precision-first” professionals who are proactive, professional, and ready to lead the most talented events team in Ottawa.

Joining Strathmere means becoming part of a legacy of celebration. We offer competitive pay and a supportive, high-energy environment where your leadership is the key to our success. If you are an event professional with a commitment to “Seamless Execution and Client Delight,” we invite you to apply and help us create unforgettable memories this season.

Strathmere: A Legacy of Connection and Sustainable Hospitality

Strathmere is a historic 200-acre estate defined by a culture of wellness, stewardship, and “field-to-plate” excellence. Its mission is to provide a sanctuary where nature and history intersect to foster genuine connections—whether for a wedding, a corporate retreat, or a personal escape. The internal environment is intentional and collaborative, characterized by a deep respect for its 200-year history as a family farm. Since joining the Dreammind group, Strathmere has reinforced its commitment to creating “extraordinary moments” while maintaining the rustic, soulful charm that has made it an Ottawa landmark for decades.

Located in North Gower, just south of Ottawa, Strathmere operates as a multifaceted destination for celebration and rejuvenation:

  • The Three Pillars of the Estate: Strathmere features three distinct venues, each offering a private, self-contained experience:

    • The Farmhouse (built 1860s): An intimate fieldstone mansion perfect for smaller gatherings. It features a sweeping staircase, 150-year-old walnut trees for ceremonies, and a max capacity of 65 guests for dining.

    • The Lodge (restored heritage barn): For grander celebrations of up to 180-225 guests. It boasts 160-year-old original beams, cathedral ceilings, and large stone fireplaces, blending rustic aesthetics with modern amenities.

    • The Garden House: A bright, airy venue nestled near the orchard and woods, accommodating up to 160-200 guests. It features wrap-around windows and a handcrafted limestone fireplace.

  • The “Field-to-Plate” Philosophy: A cornerstone of Strathmere’s culture is its on-site organic farm. Lead Grower Colin Lundy and Executive Chef Robert McGillivray collaborate to design menus based on what is harvested just steps from the kitchen. This includes everything from seasonal vegetables to honey from their own bee colonies, which also serve as vital pollinators for the estate’s heritage gardens.

  • The Retreat & Spa: Beyond events, Strathmere functions as a wellness destination. The site includes a full-service spa, outdoor hot tubs, a seasonal pool, and 33 unique guest rooms. In 2026, it continues to promote “active wellness” through its network of hiking, biking, and cross-country ski trails that span the 200-acre property.

  • Environmental Stewardship: Strathmere is a certified Monarch butterfly waystation. Its gardens are intentionally designed to support local biodiversity, reflecting a broader commitment to sustainable land management that honors the Phelan family’s original 1825 settlement.

  • A Hub for Corporate Rejuvenation: The “destination meeting” model at Strathmere focuses on breaking the traditional boardroom mold. With high-speed Wi-Fi and modern AV integrated into historic settings, it attracts organizations looking for “strategy amidst nature,” particularly during the vibrant autumn foliage or serene winter months.

Engaging with Strathmere means stepping into a living story. Whether you are a couple exchanging vows under a century-old tree or a corporate team brainstorming by a fieldstone fire, the experience is anchored in the belief that “connection to people, nature, and ourselves is fundamental to a life well-lived.”
