Core Responsibilities

  • Service Coordination: Handle service-related calls with a high degree of detail; create work orders in a proprietary CRM and produce costing breakdowns for completed jobs.

  • Project Support: Assist Project Managers with the start-up and close-out of capital projects; this includes managing customer contracts and manufacturer warranty documents.

  • Scheduling: Create and maintain Gantt charts and other project scheduling documentation to ensure work-site timelines are met.

  • Financial Administration: Perform basic payroll data entry for head office submission; match packing slips, code invoices, and reconcile monthly statements.

  • Meeting Management: Attend departmental meetings to take and distribute minutes, ensuring all stakeholders (from Foremen to Managers) stay informed.

  • Logistics: Arrange out-of-town travel for the workforce, including flights, hotels, and room-and-board payments.

  • General Operations: Answer phones, manage courier/postal correspondence, and maintain general office tidiness and supply levels.

Candidate Requirements

  • Education: High school diploma (required).

  • Experience: 3–5 years of office experience is highly preferred; specific experience in reception (2 years) and administrative assistance (5 years) is a plus.

  • Technical Skills: Proficiency in MS Office (Excel, Word, Outlook) and the ability to quickly learn proprietary CRM and POS systems.
