Job Overview: NERA Billing Coordinator / Executive Assistant (NYC)
NERA Economic Consulting, a subsidiary of Marsh McLennan, is seeking a high-level Billing Coordinator and Executive Assistant for its New York City office. This unique hybrid role combines technical finance administration with high-touch executive support, providing a critical backbone for directors and consulting teams across several practice areas.
You will join a collaborative North American administrative team, managing complex, time-sensitive, and confidential tasks that support NERA’s delivery of economic analysis and expert testimony to world-leading law firms and corporations
Key Responsibilities & Financial Administration
Billing & Project Coordination

Invoicing Lifecycle: Manage the end-to-end billing process using NERA’s project management system (Claim.Check). This includes setting up project codes, maintaining client details, and reviewing monthly proformas with directors.

Financial Tracking: Reconcile monthly charges against project budgets, track sub-contractor/special consultant fees, and manage expenses for billable projects.

Reporting: Maintain sophisticated tracking spreadsheets for multi-payor projects and facilitate communication between directors and the corporate controllership to improve financial controls.

Legal Documentation: Prepare client engagement letters and ensure all work products adhere to strict company document standards.
Executive & Office Support

Travel & Logistics: Coordinate complex domestic and international travel, including visa procurement, passport maintenance, and detailed itinerary preparation.

Schedule Management: Proactively manage schedules, coordinate internal/external meetings, and oversee vendor/AV setup and catering.

Expense Management: Prepare, reconcile, and track reimbursement reports and process supplier invoices via purchase orders.

Facilities Oversight: Manage day-to-day local facilities operations, entertainment budgets, and office events, ensuring a professional and collaborative environment.
Requirements & Qualifications
Professional Experience

Tenure: Five years of experience providing administrative finance or accounting support.

Environment: Preference for candidates coming from a legal or professional services background.

Technical Skills: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and CRM software. Familiarity with e-billing systems is highly desirable.

Compensation & Total Rewards

Base Salary: $90,000 – $95,000 per year (Eligible for overtime).
