Job Overview: Event Production Assistant
From Day One, Inc. is seeking a “driver”—a self-motivated, relentlessly resourceful Event Production Assistant—to join their Brooklyn-based media and conference series. This role is a blend of logistical mastery and high-level coordination, supporting a nationwide calendar of live and virtual conferences that explore the intersection of business and society.

Key Responsibilities & Mission
Live Event Logistics

Technical Management: Coordinate with A/V teams on audio/visual requirements and manage complex rental orders and vendor requirements.

On-Site Planning: Create detailed venue layouts, develop comprehensive run-of-show schedules, and oversee the hiring of temporary event staff.

Sponsor Relations: Diligently manage sponsor deliverables, including the shipping of display items and the preparation of presentation media.
Virtual Event Production

Platform Management: Assist in producing virtual experiences on platforms like Zoom and Hopin, including template setup and schedule management.

Role Staffing: Ensure all key virtual roles are staffed and that digital events transition as seamlessly as live conferences.
Operational “Drivership”

Process Improvement: Actively seek ways to refine production workflows rather than just following existing templates.

Stakeholder Communication: Provide highly responsive service via email, phone, and in-person interaction with speakers and cross-disciplinary leaders.
Qualifications & Requirements
Professional Profile

Education: A 4-year college/university degree is required, supported by a strong academic background.

Experience: Minimum of 2 years of full-time, post-graduation professional experience.

Event Mastery: Demonstrated skill in vendor contracting, catering planning, and event production rentals. Experience in corporate conferences or executive networking is a significant plus.
Technical & Cultural Alignment

Financial Literacy: Fluency with modern budgeting practices and the ability to manage complex spreadsheets.

Residency: Must live in the broader NYC area (near a major airport) for occasional meetings in DUMBO and frequent travel to national events.
